Document Management System & Workflows
Curse or blessing Windows and its two explorers
Who deleted the folder, misplaced the file with the latest figures. Who knows where a particular document could be found? Or rather which version of the document is correct.
Windows Explorer offers too many possibilities to accidentally modify documents or folders.
Windows Explorer offers too few possibilities to bind users.
From folder structures to workflows: How to Manage Documents Efficiently and Meet GDPR Deletion Deadlines
Folder structures are a useful way to organize documents, but they are not always the best solution. Especially in a fast-changing business world, where documents frequently move back and forth between customers, suppliers and projects, a simple folder structure can quickly become confusing. This is where virtual shortcuts can help.
Virtual links allow documents to be filed in multiple locations without duplicate entries or confusion. For example, documents can be assigned to both the customer and the project without having to file them in multiple locations.
Workflows are another important tool for bringing order to document management. Workflows define the process by which a document is processed and approved, and delegate responsibility for specific tasks to the relevant employees. This ensures that all steps in the process are carried out correctly and that documents are processed quickly and efficiently.
Meeting the deletion deadlines of the GDPR can also be a challenge. Without application support, it is difficult to keep track of the deletion deadlines and ensure that all documents are deleted in a timely manner. Good application support can help here and facilitate compliance with the deletion deadlines.
In summary, new technologies and workflows can be important tools for their existing folder structures to organize their documents and delegate the responsibility for processing documents to the responsible employees. Good application support can also be helpful in meeting deletion deadlines
Microsoft 365 does not yet represent a specific document management system per se. However, it offers a suite of productivity tools that includes Office applications, email, calendaring, OneDrive for Business and other services. It offers some features that can be useful for managing documents and data, such as OneDrive for Business, which allows users to store and share documents in the cloud, and SharePoint, which serves as an information management platform. Along the way, workflows support the work process. The modules Flow, Automate, PowerApps, Syntex, ... provide functions from simple data collection forms, to power agents, to full-fledged robotic process automation without much development effort.
PDM: Centralization, Increased Efficiency and Better Collaboration - The Benefits of a Product Data Management System
-
Increased efficiency: A PDM (Product Data Management) system makes it possible to manage and organize product data centrally. This avoids duplicate entries and errors and ensures a better overview of the product data.
- Time savings: With access to all relevant data in one central location, employees can access the information they need faster and work more efficiently.
-
better collaboration: A PDM system enables multiple employees to work on the same product data simultaneously and share changes in real time. This leads to better collaboration and faster implementation of projects.
PDM System Primus from CAD-Adapt
With our partner CAD Adapt GmbH we offer the PDM system Primus. Especially when the management of CAD and design data is also pending.
PRIMUS PDM is a comprehensive product data management system that enables companies to organize, manage and share their product data. Primus offers an intuitive user interface and a wide range of features, such as versioning, access rights management and workflows, which make it easier for companies to manage their product data efficiently.
PRIMUS PDM offers flexibility and can be adapted at any time by the partner or customer to meet individual needs. In 2021, for example, we started the development of a Catia CAD interface, which has already been successfully implemented at a customer site. The CAD interfaces for AutoCAD Inventor, Solid Edge and Solid Works have already been contributing to the efficient design process in many Austrian companies for some time.
